This policy explains how FourAxis Financial Services Inc. collects, uses, shares, retains and protects personal information when you use this portal, request services, contact us or work with our authorized team.

FourAxis is responsible for personal information under its control. Questions, access requests or correction requests can be directed to the contact address below.

Information we collect

  • Identity and contact information, including your legal name, date of birth, address, email and phone number.
  • Tax, residency, family and dependant information needed to understand the service requested.
  • Documents you upload, including tax slips, receipts, financial records and related supporting files.
  • Messages, inquiries, appointment details, portal activity and security records used to operate and protect the service.
  • Information about another person only where you confirm that you have authority to provide it.

How we use information

  • To assess, prepare, review and deliver the tax, bookkeeping, payroll or related service you request.
  • To communicate about your file, request missing information and provide status updates.
  • To verify access, prevent misuse, maintain service records and meet legal or professional obligations.
  • To improve portal reliability and understand aggregate website traffic without using traffic counts to expose client-file information.

When information may be shared

We do not sell personal information. We limit disclosure to what is reasonably necessary for the service or required by law.

  • Authorized FourAxis administrators, assigned preparers and staff with a work-related need to know.
  • Technology and service providers that support secure hosting, communications, storage or operations, subject to appropriate controls.
  • The CRA, IRS, another government body or professional adviser when you authorize it or when disclosure is legally required.
  • A successor or service provider involved in a business transaction, subject to confidentiality and lawful handling requirements.

Retention and safeguards

We retain personal information only as long as reasonably needed to provide services and meet legal, tax, professional and record-keeping obligations. When no longer required, information is securely deleted, destroyed or anonymized as appropriate.

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information. No online system can be guaranteed completely secure, so clients must also protect their Client ID, access code and devices.

Access, correction and questions

To request access to or correction of your information, raise a privacy concern, or ask about this policy, contact fouraxisfinancial@gmail.com. We may need to verify your identity before responding. If a concern is not resolved, you may contact the appropriate privacy regulator.
